The Secretariat at our FTSE 100 client is now seeking some interim support at Assistant Company Secretary level. This role will be offered as a six month fixed term contract and the team are seeking to make an appointment as soon as possible.
They need someone to help support the Company Secretary in running an effective and efficient administrative and secretarial function for the group. A full job description is available on request, but some highlights as below.
Duties and responsibilities
- Maintain the statutory books and records of various companies and ensure all statutory returns are completed accurately and in a timely manner
- Maintain the Board and Committee agenda plans
- Coordinate the production of Board and Committee meeting packs on the meeting portal
- Collate Board, Executive and other Committee papers and distribute to relevant parties
- Manage the Board and Committee action logs on a timely basis
- Take the minutes for various Board and Committee meetings
- Ensure Group Company and Committee minute books are complete and up to date
- Provide company secretarial support for group share plans and Director share dealings
- Support the Group and Deputy Company Secretaries as directed
Education and Qualifications
- Chartered secretarial qualification (either full or part qualified)
Skills and Abilities
- Ability to work at both detailed and summary level, and able to exercise judgement
- Able to communicate effectively with others, both verbally and in writing, ability to listen
- Ability to be adaptable to changing circumstances
- Able to manage uneven workload and respond quickly to ad hoc queries from the business
- Excellent organisational skills
- Able to self-manage
Knowledge and Experience
- Experience with interacting at Executive level
- Experience with production of Board and Committee packs
